Joining the Club

I or my child wish to join, what is the process?

Contact the relevant team / age group leader who will provide you with a Spond App registration link and guide you through joining and the membership process. Alternatively contact Steve Brook at membership@sevenoaksrugby.com

What information is required for the registration and how does this differ between a child or adult?

For a child you will need to provide first name, surname, date of birth, gender, address, RFUID (where available) and for the guardian(s) the name, email and phone number. Note - do not enter the parents or child’s phone number or email in the Member’s fields. Do not enter the adult details in the general member fields, only guardian.

For an adult provide all the information, ensure the contact phone number end email are provided.

Is there a trial period for new junior (mini, youth & academy) rugby members?

Yes.

New junior rugby members may participate for up to three weeks before membership becomes mandatory.

After the trial period, anyone wishing to continue participating must complete registration and pay the applicable membership fee.

If I join the club later in the season, is there a reduced rate?

If members join before Christmas then a full membership fee is due. Members joining after Christmas will need to pay 50% of the membership fee.

My child is an Under-5 player, do they need to pay a membership fee?

No.

Children in the Under-5 age group pay fees per session. We do though encourage the parents / guardians of Under 5s to become Social Members of our Club.


Membership Period and Renewal

When does the membership period start?

The membership year runs from 1 July to 30 June each year. Membership benefits and eligibility apply during this period.


What are this years membership fees?

What happens to my membership card and benefits during the renewal process?

  • Membership cards are deactivated at the end of June each year

  • Cards are reactivated once membership payment has been received.

  • Membership card benefits are only available to fully paid-up members.

I am a new member or never received a membership card, when will I get mine?

New membership cards will be available for collection in person three days after receipt of your membership payment.

Cards can be collected from the Clubhouse bar during normal Club opening hours.

Membership cards are only issued to adults

What happens if I loose my membership card?

Please report this as soon as possible using the membership email or in person at the Club bar. Replacement membership cards are available at a cost of £10 from the Club bar during normal opening hours.


Membership Payments

How do I pay mine or my child’s membership?

Membership payments should be made through the Spond application.

Exceptions may be considered for certain social members who do not have access to a smartphone or are unable to use the application.

How long do I have to pay?

For membership renewals, payment is due by 31st July.

For new members, payments are due within 21 days of issue.

Members will receive notifications and reminders according to the following timetable:

Can I pay by instalments?

Membership fees are normally payable as a single payment.

Instalment arrangements and accessing the Club's benevolent fund where membership fees present a barrier to playing rugby, may be considered where genuine financial hardship exists. Members should contact the Membership Secretary before the payment deadline.

What is the additional Spond fee that I have to pay?

We’ve chosen Spond to make membership payments integrated, easier and more secure for everyone. As part of using this service, Spond applies a 2.5% payment processing fee and a 20pence transaction fee. These are Spond charges rather than an additional fee from the club, and it allows us to keep membership administration simple and efficient.

Membership Categories and Discounts

Who qualifies for Student Membership?

Student Membership is available to members in full-time education.

The club may request evidence of student status if required.

Do parents need to pay membership?

A parent or guardian who is a non-playing member and pays membership fees for an under-18 player receives one complimentary parent membership.

This includes eligibility for:

·       A membership card

·       Associated member benefits

If a second membership card is required, this can be purchased through the membership renewal process for a nominal fee of £30.

How are sibling discounts applied?

Sibling discounts are applied to the youngest eligible children within a family.

All family memberships must be paid together by the same paying member to qualify for sibling discounts.


Membership Benefits

What are my membership benefits?

All fully paid-up members can access the following benefits:

·       Reduced prices at the Bar (approximately 15%)

·       Reduced prices at the Kitchen (10%)

·       Reduced match day entry (£5 instead of £10)

·       Reduced lunch fee (£30 instead of £40)

·       Access to International Tickets (Six Nations, Nations Championship etc.)

·       Discounts on the High Street and among our sponsors, including:

o       Wagamama – 20% off

o       Chris Potter Country Sports – 10% off

o       Savills – donation of £500 (or more for qualifying property sales) to the Club when members engage Savills for property sales

Can I get a 2nd membership card?

Yes, If a second membership card is required, this can be purchased for a Spouse/Partner through the membership renewal process for a nominal fee of £30.


Donations and the Centenary Fund

Why are donations important?

Membership fees cover only part of the cost of running the club. Donations to the Centenary Fund help us continue to provide a high-quality rugby experience and support the wider Sevenoaks Rugby community.

Donations help support:

·       Coaching and player development

·       Ground maintenance and facilities

·       Medical and welfare provision

·       Equipment and playing resources

·       Youth and community rugby programmes

Your support helps ensure rugby remains accessible, inclusive and sustainable for future generations.

The club funds participation through general membership income, sponsorship, donations and other club revenues.

Why was the Centenary Fund setup?

Since its formation in 1925, Sevenoaks Rugby Club has been at the heart of our town, playing rugby, creating lifelong friendships, and growing generations of players.

The Centenary Fund, introduced during our 2025/26 Centenary season, is enabling us to honour the past and seed the future of Sevenoaks Rugby.

Donations to the Centenary Fund help us to provide rugby opportunities for players of all ages, supporting the club for the next generation and beyond.

Financial Support

What should I do if I cannot pay because of financial hardship?

The club recognises that circumstances can change.

If you are experiencing financial difficulty, please contact the Membership Secretary or your age / team group leader confidentially.

We will discuss available options, which may include:

·       Instalment arrangements

·       Deferred payments

·       Other support measures where appropriate

All discussions will be treated in confidence.


Membership Queries and Corrections

What should I do if some element of my membership renewal is wrong?

Please contact the Membership Secretary (Steve Brook) at membership@sevenoaksrugby.com immediately if:

·       Your membership category is incorrect

·       Your fee appears incorrect

·       A sibling discount has not been applied

·       Family records are incorrect

·       Personal information is inaccurate

·       You have been allocated the wrong playing category

The club will review and correct any issues as quickly as possible.
